A repeatable workflow for community gatherings

Combine a permanent page, fresh invitations and a group calendar to keep a recurring community organized.

01

Give the group a permanent home

Create a gathering page for the group or series and pin its link in the existing conversation. Attach each new meeting so newcomers can find the next plan without searching old messages. Keep descriptions specific to the occasion and remove outdated instructions.

02

Reuse details without attendance

Apply a preset or choose Do this again. Select a fresh date and verify any minimum-turnout deadline. Each new meeting starts with its own responses. Neither action imports the previous guest list or silently subscribes people to email.

03

Separate following from attending

Guests can follow the enabled group calendar while continuing to RSVP on individual invitations. A subscription helps people see future plans; it does not mean they are attending. Ask for responses by a clear deadline when headcount affects whether the event can happen.

04

Automate what helps

Discord can announce publication and changes. Make or Zapier can update an organizer’s planning sheet. Leave response-level notices off if they would overwhelm the group. Review connections after a few gatherings and remove destinations no longer in use.

Your questions, answered

Is this automatic recurrence?

No. Publish each gathering with its own date and invitation.

Can several organizers share the setup?

Authorized workspace members share presets and gathering pages. Owners and admins manage connections.

Can I pause between seasons?

Yes. Pause the gathering page and any connections you do not want running.

Put the idea into practice.

Start with your occasion, a time and a place. Give your group one clear next step.
