A practical checklist for your next group meeting

Prepare a useful invitation, share it clearly, and keep attendees informed when the plan changes.

Create your meeting

Before publishing

Write a title that explains the purpose. Choose a start time, end time and timezone. Add a short agenda and any preparation required. Test the video joining link or confirm the physical location. Check that the description does not contain personal information you would not want forwarded, because a meeting invitation can be shared beyond its original group.

When sharing

Post a short message alongside the Meetyn link explaining who the meeting is for and when you need a response. Use a QR code if a noticeboard or printed handout is more appropriate. Tell members they can RSVP with their name and save the meeting to a calendar. Avoid posting different versions of the event in different channels.

When plans change

Update the existing meeting and announce the specific change wherever you first shared it. Ask members to revisit the invitation and refresh any calendar copy. If the session is cancelled, use the cancellation control so the old page makes that clear. Before the meeting, review responses with authorized teammates and confirm the host can access the conferencing account.
