Set the expectation before the call
A discovery session should explain what you will discuss and what the client should bring. Include the duration, timezone and location or video link. Keep proposal files and confidential material in your normal client system.
Coordinate a group without collecting contacts
When a client wants to bring a colleague, share the invitation in the existing project conversation. Each person can respond with their name. The link is forwardable, so use it for sessions where that sharing model fits.
Know when a poll is the better starting point

Close the loop after a handover
